* *JOB DESCRIPTIONS* *Employee:* *Job:* Front Desk Receptionist *Company:* Bay Area Physicians for Women *Immediate Supervisor:* *Summary of Job:* Checking patients in and out and scheduling appointments *Duties and Responsibilities:* 1.
Greet patients or visitors upon arrival 2.
Check in patients and update patient information as needed.
Scan forms and waivers into patient’s record and attach patient’s photo and appropriate flags.
Track patient’s location.

Collect copays, balances, and deposits and post to patient’s account.
4.
Knowledge of EMR and Greenway a plus 5.
Knowledge of medical insurance 6.
Drop chart in correct box and turn on light if applicable.

Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.
8.
Must have the ability to exercise a high degree of diplomacy and tact; excellent customer service and interpersonal communication skills; cultural sensitivity and demonstrated ability to work with a diverse group of people.

Answer phone in a timely manner.
10.
Schedule appointments.
Send Task to business office when scheduling procedures.

Pull charts for work in appointments or pass on to medical records to pull.
12.
Keep all forms stocked and in the correct location.
Periodically clear out mammogram and lab folders of expired orders.
13.
Check and complete Prime Patient tasks daily.
14.
Make new patient charts as needed.
15.
Keep lobbies stocked with informational brochures.
Pull extra magazines from exam rooms and move to waiting areas.
16.
Check out patients, collect any additional payment, schedule follow up appointments, attach appropriate payment to ticket and file ticket in folder.
17.
Do a preliminary balancing out at 4:00 to correct any errors before staff leaves for the day.
18.
Knowledge of basic math and Microsoft Office 19.
Make sure adequate change is in the drawer at all times and let supervisor know if change is needed.
20.
Closing personnel will balance out tickets, complete closing reconciliation form, lock daily batch in safe and ensure coffee pot, copier, and fans are off ; Must be available to close at least one night per week; May be required to close an additional night(s) due to staff shortage.
21.
End of day duties include: copy next day schedules and place in doctor’s box along with copy of lab schedule, file back charts, place Medicare waivers on chart and empty shred bin.
22.
Must be adaptable to working in different assigned seating positions.
23.
Must be on time to work and from lunch and stay in area of work assignment - Required to take a 30 minute lunch.
24.
Responsible for knowing work schedule, observing work hours, and maintaining a good attendance record and following appropriate procedures for requesting time off and calling out.
25.
Establish and maintain effective working relationship with patients, employees, supervisors, and the public.
26.
Maintain professional demeanor with awareness that all actions and conversation is observable by those in surrounding areas.
